Creating Lots by Receipt

Note: This feature requires the Chemical Inventory module licensed at your site.

Create new lots in your system using this method when receiving the lots on-site.

This operation requires access to a Start Lot transaction type and a Receipt transaction type (see Administration: Transaction Types). In the detail transaction history of the SDS or part you select as the new lots' component (see SDS Detail Transactions and Part Detail Transactions for details), this operation automatically adds:

        A Start Lot transaction for each new lot you create

        One Receipt transaction

The Receipt transaction adds the lots' total quantity to the product's running balance at the location you select.

To create new lots by receipt:

Starting at the Lot Search Center page (How do I get there?), do the following:

1.      At the right side of the page, click New Lot.

2.      Click the Receive Product at My Location picture.

3.      Depending on how the new lot’s product is defined, click the SDS or Part option and then click the Select a Product link. A pop-up window will show your site’s index of SDSs or parts (depending on which option you chose).

4.      In your SDS or part index, find and click the name of the product you wish to choose as the component of your new lot(s). You may view a product in a separate window before selecting it by clicking its view () icon. (If you choose an SDS that’s not currently assigned to your site, it will automatically be assigned to your site upon the completion of this procedure.) The lot(s) you create will inherit the product name and manufacturer of the component product you choose here.

5.      Click the blue Location link to choose a location for your new lot(s). A pop-up window will show your site’s location tree. Clicking a location’s expand () icon will display its sub-locations. Find the desired location (or sub-location), select it, and then click the OK button; to set your chosen location as the default location selection, check the appropriate checkbox near the bottom of the window before clicking the OK button. (Note: If the proper checkbox is checked for the Chemical Inventory module configuration for your site—see Site Settings—the component product chosen in step 4 will be automatically assigned to the location chosen here.)

6.      In the first of the two Quantity fields, type the number of lots that you are receiving at the chosen location. In the second field, type the quantity of product that each new lot contains and choose the proper unit of measure for this quantity using the adjacent pick list. Click Next.

7.      Choose a Receipt Transaction Type using the pick list and click Next.

8.      In the Lot Description(s) field, type a description for the new lot(s). Choose the desired Start Lot Transaction Type. Enter the Expiration Date for the new lot(s); if the component product chosen in step 4 has a defined shelf life, a default expiration date will be calculated accordingly. The Transaction Date will default to today’s date; enter a different date if necessary. To assign someone as the owner of the new lot(s), click the Current Owner link to open a pop-up list of users at your site, choose the desired user and click the OK button in the upper right-hand corner of the list. Click Next.

9.      If you are only creating a single lot in this operation, skip to step 10. If you are creating multiple lots, you will have to place them in a collection. To place them in a new collection, type a name for the new collection in the Collection field; to add them to an existing lot collection, leave the Collection field blank and choose the desired collection using the pick list provided.

10.  Comply Plus will automatically generate a lot number for each new lot according to the Lot Number Mask defined for your site (see Site Settings). Click the Next button to create your new lot(s). A Receipt transaction will be generated in the transaction history of the lot component product (the one you chose in step 4) for each lot you create in this operation.
