Administration: Data Update Log

The data update log is a record of updates made to your database by Sphera, such as the addition of new SDSs or parts, new data added to SDSs or parts (such as location assignments, hazard ratings, synonyms, and so on). Viewed from the Corporate level, it displays only non-site-specific entries (such as additions of SDSs to the Corporate database). Viewed from the site level, it displays only entries relevant to that site. Each entry includes a description of the operation, whether the operation was successful, and the date when it was added to the log.

Each data update log entry is one of the following:

        New: Any log entry that hasn't been marked as "read" (see next). Typically, these are entries that have not been read by all interested parties.

        Read: Any log entry that has been marked as "read." Typically, this is done when the entry has been read by all interested parties. After an entry is marked as "read," it cannot be changed back to "new" (see previous).

When you view the data update log, you can select to view new entries only or both new and read entries. Optionally, you can also have the log show entries from specific dates only.

To view the data update log:

Starting at the Application Administration page (How do I get there?), do the following:

1.      In the menu on the left, under OTHER, click View Data Update Log.

2.      Do one of the following, depending on the date(s) of the data update log entries you want to view:

        To view log entries added on any date: Leave the Date fields blank.

        To view log entries added on, before, since, or not on a specific date: Select the desired operator in the Date menu. Enter the date in the first Date field and leave the second field blank.

        To view log entries added between two specific dates: Ignore the Date menu. In the first date field, enter the starting date of the desired period; in the second field, enter the ending date.

3.      To view new log entries only, select Show Only New Entries. To view both new and read entries, clear this check box.

4.      Click Run.

The data update log opens in a Crystal Report Viewer window, showing all entries matching your criteria. When you are done viewing (or printing or exporting) the log, close the Viewer window.

5.      Optional: To change all new log entries at your site into read entries, click Mark all log entries at this site as "Read".
