Auto-Updating SDSs

Note: This operation is available only to users logged in at the Corporate site.

The Auto-Update feature automatically indicates when an active SDS assigned to a site has a newer revision available in the Corporate database. Using this feature, you can ensure a site is using the newest available SDS revisions and (optionally) archive its outdated revisions.

Unlike other Corporate Archiving features, the Auto-Update feature is available to both Corporate and local site users. A Corporate user can update SDSs at multiple sites, while a local site user can update SDSs at the local site only. The following table shows the data displayed and operations performed by this feature, which differ depending on where you are logged in.

What you see: For each SDS with multiple revisions active in the corporation, a list of these revisions. Each list includes:

        The newest revision of this SDS available in the Corporate database (shown at the top of the list in boldface);

        All outdated revisions currently assigned to and active (non-archived) at one or more local sites.

The newest available revision is the SDS with the latest revision date. It is considered a different revision of the same SDS because it matches all of the older SDSs in all of the following properties:

        Clean common name (common name with all non-alphanumeric characters removed)

        Manufacturer

        Language

        Format (depending on the SDS revision updating options selected by Corporate; see Administration: Corporation Configuration)

Note: Archived, temporary, and hidden SDS are excluded from this display.

What you see: For each active (non-archived) SDS that is assigned to your site but is not the newest revision of that SDS in the Corporate database, a list of two or more SDSs. This list includes:

        The newest revision of this SDS available in the Corporate database (shown at the top of the list in boldface);

        All outdated revisions currently active and assigned to your site.

The newest available revision is the SDS with the latest revision date. It is considered a different revision of the same SDS because it matches all of the older SDSs in all of the following properties:

        Clean common name (common name with all non-alphanumeric characters removed)

        Manufacturer

        Language

        Format (depending on the SDS revision updating options selected by Corporate; see Administration: Corporation Configuration)

Note: Archived, temporary, and hidden SDS are excluded from this display.

When you auto-update an SDS: The following events happen:

1.      The newest available revision is assigned to each local site that meets both of the following conditions:

        An outdated revision of the SDS is assigned to and active at the site;

        The site has the "Auto Update (Using Application)" option selected (see Site Settings).

2.      At each local site where the new revision gets assigned, various local SDS data—such as user-defined data, location assignments, and synonyms—are copied from the site's outdated revisions of the SDS to the newest revision, according to the site's "Roll" settings (see Site Settings).

3.      At each local site where the new revision gets assigned, if the site has the "Auto Archive (Using Application)" option selected, (see Site Settings), the site's outdated revisions of the SDS are automatically locally archived.

4.      Each outdated revision of the SDS that is now locally archived at all of its assigned sites is automatically archived at the Corporate level.

When you auto-update an SDS: The following events happen:

1.      The newest available revision is assigned to your local site (if it is not assigned already).

2.      Various local SDS data—such as user-defined data, location assignments, and synonyms—are copied from your site's outdated revisions of the SDS to the newest revision, according to your site's "Roll" settings (see ).

3.      If your site has the "Auto Archive (Using Application)" option selected (see Site Settings), your site's outdated revisions of the SDS are automatically archived.

To auto-update SDSs:

Starting at the Corporate Archiving page (How do I get there?), do the following:

1.      If it is not already selected, click the Auto-Update tab.

The tab shows all SDSs with outdated active revisions and newer revisions available in the Corporate database. (See table above for the precise details this tab shows to Corporate users vs. local site users.) The data shown by the various columns is self-explanatory, with the possible exception of the Part Comp. column, which shows any Corporate parts in which an SDS is a component. (For details, see Part Components.)

2.      Do any of the following to organize the list to your preferences:

        To select how many SDS revision lists appear on each page of the tab: Select the desired number in the Grouped Items Per Page menu in the upper right.

        To navigate between pages: Use the Page menu and Previous/Next buttons in the upper left. (These appear only when the tab shows multiple pages of SDS revision lists.)

3.      Examine each SDS you might want to auto-update; to view a specific revision in detail, click its view () icon in the Common Name column. If you decide to auto-update an SDS, select its check box in the far left column. You can also select all and clear all check boxes on the current page using the Select All and Clear All buttons (respectively) in the lower left.

Note: If you change any of the display's pagination (using the tools described in step 2), this automatically clears every SDS's check box. Therefore, you might need to address one page of SDSs at a time.

4.      When all SDSs you want to auto-update on the page are selected, click Update Selected.

The selected SDSs are auto-updated (see table above for full details on the effects at Corporate vs. at a local site) and removed from the tab.

5.      To examine and auto-update another page of SDSs, return to step 2. When you are done, click Done to return to the Application Administration page.
