Note: This feature requires the Material Request & Approval module licensed at your site.
Create a new request when you want to submit a request for a new material and are unable to locate a similar existing request to clone. (When an existing request has a similar nature to the new request you want to submit, it may be more efficient to clone the existing request than to create a new request from scratch. For details, see Cloning an Existing Request.)
When creating a new request, take care when selecting its request type. This identifies the nature of the request and may determine the MRAP tasks required for you and for the approvers addressing the request.
Note: The procedure below guides you through the initial creation of the request only. After you create the request—depending on your system setup and the request type you chose for the new request—you may be required to perform certain requester tasks in order to submit the new request. For details, see Performing Requester Tasks.
To create a new material request:
Starting at the Material Request & Approval page (How do I get there?), do the following:
1. If any New Request instructions appear at the top of the display, read them carefully. (If none appear, such instructions can be defined in your site’s MRAP configuration; see Site Settings.)
2. In the Product Information fields, enter the Product Name and Manufacturer Name of the material you wish to request.
3. In the Request Information section of the display, choose the request’s Request Type and Priority. If the material must be on-site by a certain date, enter that date as the Date Required.
4. If your user account is linked to a contact (see Administration: Users), this contact’s information is automatically entered as the Requester Information. If your user account is not linked to a contact and/or your user group has the New Request – Change Contact MRAP access point, you may click the Select a Contact button to choose a name from your site’s contacts and employees (see Administration: Contacts). This access point also lets you manually enter the information: your Name, E-mail Address, etc.
Note: If you enter contact information that does not exactly match an existing contact in your system, you are given Contact Save Options: Choose Save as New Contact to save the entered information as a new contact; choose Update Chosen Contact if you chose a contact and manually entered changes to it, and wish to save those changes to the chosen contact; choose Do Not Save Contact if you do not wish to save the entered information to a contact.
5. Click the Create button. Your request is created and you may—depending on your site’s MRAP configuration—receive an automatic e-mail confirming its creation. If you are returned to the New Request page, the request has been automatically submitted. If a list of tasks appears, you must perform these requester tasks to complete the submission.
