Performing Requester Tasks

Note: This feature requires the Material Request & Approval module licensed at your site.

An MRAP task is an electronic form asking for specific information about a requested material; you perform the task by entering and saving this material information in the form. Requester tasks are tasks given to the requester to complete. These are often a part of submitting a new material request, allowing (or requiring) you to provide additional information about the material you are requesting.

Perform requester tasks when you see a list of tasks on a Requester Tasks page. This page opens when:

        You have just created a new request from scratch (see Creating a New Request) whose request type includes requester tasks.

        You have just created a new request by cloning an existing request (see Cloning an Existing Request) that included requester tasks.

However, Comply Plus does not require you to perform requester tasks immediately after creating a request. You can always return to a request using the MRAP search tool (see Searching Requests and Tasks); in your search results, any request showing a New Request status in the Status column has not yet been submitted and likely has requester tasks that need performing.

Note: Depending on your system configuration, you may or may not be required to complete all requester tasks in order to submit a request. However, it is recommended—regardless of your configuration—that you complete the displayed tasks to the best of your ability.

To perform requester tasks:

Starting at the Material Request & Approval page (How do I get there?), do the following:

1.      Open a request's Requester Tasks display by doing any of the following:

        If the request does not yet exist, create it using either of the following operations:

        Creating a New Request: Create the new request from scratch.

        Cloning an Existing Request: Create the new request by cloning an existing request with desired properties.

        If the request is already created, use the SDS Search Tool (see Searching Requests and Tasks for details) to search for it. When it appears in your search results, it should show a New Request status in the Status column. Click its request number to open it. If this opens a Request Summary display, click Tasks in the upper right to open the Requester Tasks display.

2.      Click any task in the list.

You will be taken to an expanded list that includes a display for performing each task. These tasks are now considered “started.”

3.      Perform each task; see MRAP Task Types for detailed procedures on performing each type of task.

Note: If you are called away before you have finished all the tasks, click the Save Draft button in the Actions toolbar to save your work.

4.      When you have performed every task in the list, click the Save & Complete button in the Actions toolbar.

Your task data is saved and each task is marked “completed.” You will then be taken back to the Requester Tasks page, which will now show a completed () icon for each task, indicating that they have been completed. (To make changes to any tasks before submitting the request, click a task name and click the Re-Open button in the Actions toolbar to re-open the tasks for editing.)

5.      Click the Submit for Approval button at the bottom of the Requester Tasks page.

The submission is now complete. You may—depending on your site’s MRAP configuration—receive an automatic e-mail confirming the submission. E-mail notifications will be sent to the parties responsible for reviewing the new request and to any other users associated with the request’s type (see Administration: Request Types).
