Performing a Lot Search

Note: This feature requires the Chemical Inventory module licensed at your site.

The Lot Search Center is the most basic tool for searching your database of parts. The Lot Search Center provides any or all of the search fields/options listed below. Scroll past this list for the step-by-step procedure on performing a part search.

Note: If the Lot Search Center does not show all the fields/options listed below, administrators may have simplified your display by removing the fields/options unnecessary/inapplicable for your user group. (See Administration: User Groups for details.) If you see an Advanced Search link in the upper right, you can click this to access all search fields/options.

        Lot Number: Enter any full or partial lot number to search for lots whose numbers match or contain your entry.

        Product Name: Enter any full or partial product name to search for lots whose product names match or contain your entry.

        Manufacturer: Enter any full or partial manufacturer name to search for lots whose manufacturer names match or contain your entry.

        Description: Enter any full or partial lot description to search for lots whose descriptions match or contain your entry.

        Ingredient Name: Enter any full or partial ingredient name to search for lots whose indexed ingredients’ names contain your entry.

        Ingredient CAS: Enter any CAS number to search for lots whose ingredients’ CAS numbers match your entry.

        Owner: Enter any full or partial owner name to search for lots whose owners' names contain your entry.

To browse a list of owners, click the Owner field label. This opens the Users list; select the desired user and click OK to paste the user name into the Owner field.

        Start Date: To search for lots created in your system at a certain time, select the desired operator (On, Before, Between, etc.), then enter the desired date(s).

        Expiration Date: To search for lots with a certain expiration date, select the desired operator (On, Before, Between, etc.), then enter the desired date(s). To also include lots with no recorded expiration dates in your search, select Include Lots without an Expiration Date.

        Locations: To search for lots at certain locations, click this select () icon to open the location tree. Here you can select the desired location(s) from the tree or click Select Location by User to select the locations assigned to a user account (see Changing Your User Information).

        Product Categories: To search for lots assigned to certain product categories, click this select () icon to select the desired categories.

        Match ALL/ANY supplied criteria: When you enter multiple search criteria in the fields listed above, select one of these options:

        Match ALL supplied criteria: Each lot in your search results must obey all of your criteria.

        Match ANY supplied criteria: Each lot in your search results must obey one or more of your criteria.

        Match Criteria Exactly: To search only for lots that match your criteria exactly (not lots that contain but do not match your criteria), select this option.

        Search Options: These options let you further modify the behavior of your search:

        Include Inactive Lots: Select this option to include inactive lots in your search.

        Items Per Page: Select the default number of lots to appear on each page of your search results.

To perform a lot search:

Starting at the Lot Search Center page (How do I get there?), do the following:

1.      Enter all desired criteria and search options using the fields/options displayed. (See above for details on the effect of each field/option.)

2.      Click Search in the lower right.

Search results open in a new window, showing all lots matching your criteria. Any lot showing an inactive () icon is currently inactive.

3.      Organize and navigate the search results as desired:

        To show/hide each lot's Inactive/active status, Start Date, Expiration Date, Owners, and Original Quantity: Click the Show Two-/One-Line Display icon in the lower right.

        To sort the lots by a different data type: Click the desired white column header above the lot list.

        To change the number of lots on each page of the search results: Select the desired number of Items Per Page in the upper right.

        To view a different page of the search results: In the upper left, select a page in the page number menu or use the Next/Previous buttons to browse the pages sequentially.

4.      Use the search results to perform the desired operation:

        To view a lot in the search results: Click a lot's number to open it in your main browser window, or its view () icon to open it in a new window. This opens the Lot Home page; see The Lot Home Page for details on this display.

        To add one or more lots in the search results to a lot collection: See Adding Lot Search Results to a Collection.
