An SDS book is a PDF document containing one or more SDSs, including the following elements:
● A title page showing any book title you enter
● An index listing all SDSs in the book
● Optional: A cover page preceding each SDS
● Optional: One or more areas of additional data of each SDS (hazard ratings, product ingredients, and more)
● Optional: The TXT or PDF SDS file of each SDS
When you print an SDS collection as an SDS book, the resulting book contains any or all SDSs from the collection, ordered by the data type you select. After the book is generated, you can save or print it like any standard PDF file.
SDS books can also be printed from SDS search results. For details, see Printing SDS Search Results as an SDS Book.
For details on printing a single SDS only, see Printing SDS Text and Data.
To print an SDS collection
as an SDS book:
Starting at the SDS Collection Home page (How do I get there?), do the following:
1. Click the Print an SDS Book icon in the collection toolbar. This opens the Print SDS Book page.
2. To place any special comments on the title page of this SDS book, enter/edit the comments in the Title page comments field.
3. Choose what exactly you wish to print in the SDS book:
● Click Print complete book to print a complete SDS book: title page, index, and SDSs. You may also check the Print Cover Pages checkbox if you want a cover page to precede each SDS text.
● Click Print book index only (suppress SDS) to print a title page and index but no SDSs.
● Click Print book index w/cover pages to print a title page, index, and SDS cover pages without SDS texts.
4. Choose any further options you desire for the book:
● Check Choose SDS image (or PDF) format over text to have an SDS’s image file (such as a .PDF) be printed instead of its text (.TXT) file. This only affects SDSs with image file formats.
● Check Order of SDS should follow order of index to have the SDSs in the book follow the order of the book’s index. If this option is not checked, SDSs will be printed in order of file name.
● Check Include row numbers on the index to have the SDSs in the book’s index be numbered. Each number will also appear on the corresponding SDS’s cover page (if you chose to print cover pages in step 3).
● Check Include Internal ID on index and cover pages to have SDS internal IDs appear in the book’s index and on the SDSs’ cover pages (if you chose to print cover pages in step 3).
● Check Prepare for two-sided printing if you’re going to print the book using two-sided printing. This option inserts blank pages to make the index and SDSs always start on odd-numbered pages.
5. At any point from here onward, you may click the Print button to skip the remaining options and generate the book using the default settings; if you do this, skip to step 9. To continue choosing options for your book, click the Next button and proceed to the next step.
6. Checkboxes show types of indexed SDS data. Check each data type you wish to print with the SDSs. If you chose to print cover pages for the book’s SDSs (see step 3), the selected data will be printed on each SDS’s cover page. If you chose to print SDSs without cover pages, a separate page showing the selected data will precede each SDS in the book. When you have selected all desired data, click the Next button.
7. All SDSs from your collection are shown in a list. Along the left-hand side, check the box of each SDS you wish to include in the book. Check or un-check each box manually, click Select All / Clear All to check/un-check them all at once, or click Invert Selected to invert the checked and un-checked boxes.
8. Click the column header by which you want the book’s index to be ordered: File Name, Common Name, Manufacturer, or Rev. Date. Then click the Print button.
9. The application processes the data you have chosen, and a new window shows a Print SDS Book Summary showing how many SDSs you selected to be printed in the book (Total SDSs selected for printing), how many SDSs have been successfully included in the book (Total SDSs printed), and how many SDSs couldn’t be included (Total SDSs unable to print). If any SDSs couldn’t be included, the reason for each is listed with a Print button; click this button to print the list of reasons.
10. To save the book before viewing it, right-click View the SDS Book just created and click Save Target As… (or your browser’s equivalent). To view the book, left-click View the SDS Book just created; the book will open as a .PDF file and you may browse it, save it, print it, etc. as you would with any other .PDF file. (A default message may appear on the SDS cover pages and at the top of each SDS .TXT file printed in the book. This “Printed SDS Message” is defined in your site's settings; see Site Settings.)
