Viewing/Printing a Request Summary

Note: This feature requires the Material Request & Approval module licensed at your site.

A request summary is a record of all properties of a request, providing a "one-stop" display where you can learn every recorded aspect of a request, including:

        Basic identification of the request and requested material;

        Name and contact information of the requester;

        Additional request details, such as its creation date, current status, date of last activity, and more;

        Requester tasks and the data entered by their performers;

        Approver tasks, the data entered by their performers, and links for emailing each task's responsible users.

Depending on which data you want to see, you can view and print any request summary in one of the following forms:

        All Task Summary: All request data, including both requester tasks and approver tasks.

        Approval Task Summary: All request data, not including requester tasks.

        Requester Task Summary: All request data, not including approver tasks.

A request summary can be viewed and printed for any request at any point during the request's process: immediately after the request is created, after the request is approved/rejected/closed, or anytime in between.

To view/print a request summary:

Starting at the Material Request & Approval page (How do I get there?), do the following:

1.      Open the desired request using the MRAP search tool or by clicking a link to the request in an MRAP email. If this opens a Tasks display (Requester Tasks or Approver Tasks), click Summary in the upper right.

The request's Request Summary opens.

2.      Scroll down to the bottom of the page. Using the pick list in the lower left, choose an area of the Request Summary: the All Tasks Summary, the Approver Task Summary, or the Requester Task Summary.

3.      View the displayed data. You can also do either of the following:

        To print the displayed summary: Click the Print... button in the lower right.

        To email a responsible user assigned to an approver task (shown on the All Tasks Summary and Approver Task Summary only): In the Responsible Parties shown below the approver task name, click the desired user's name to open a new email to this person using your default email tool.

Note: An email link is shown for a responsible user only if that user account is linked to a contact with a defined email address.
