Note: This feature requires the Material Request & Approval module licensed at your site.
To direct one or more users to a request—to remind them of tasks to be performed, to alert them of noteworthy data entered for the request, or for any other reason—you can email them a link to the request. Assuming each recipient is a Comply Plus user with permission to view requests, he/she can simply click the link to immediately view that request (though a Comply Plus login may be required). You can also include an email message with this link.
For ease of choosing recipients, the MRAP email tool allows you to automatically enter the email addresses of any of the following:
● Requester: The person who created the request.
● MRAP Admins: The users designated as the site's MRAP administrators. (See Site Settings)
● Responsible Users: The responsible users of all approver tasks currently available to be performed. Requires both of the following:
● Request is currently in an Open status (wherein its approver tasks are performed);
● Currently available approver tasks have responsible users (and/or user groups) assigned.
Note: For Comply Plus to locate the email addresses of these people, their user accounts must have defined addresses. This means each user account must:
● Be linked to a contact with a defined email address (see Administration: Users); or
● Have an email address entered by the user (see Changing Your User Information).
To email a request link:
Starting at the Material Request & Approval page (How do I get there?), do the following:
1. Open the desired request using the MRAP search tool or by clicking a link to the request in an MRAP email. If this opens a Request Summary display, click Tasks in the upper right.
The request's current task list opens.
2. Click the E-mail... button in the lower left-hand corner of the display.
3. In the To field, enter the e-mail address(es) of the user(s) to whom you are sending a link to this request. You may click the To buttons near the bottom of the display to automatically enter the e-mail address(es) of the Requester, the site’s MRAP Admin[istrator]s, and/or the Responsible Users of all approver tasks that are ready to be performed for this request.
4. Enter your own e-mail address in the From field and enter a Subject for the e-mail.
5. To include a message in this e-mail along with the request link, enter it in the Message field.
6. Click the Send button to send the e-mail.
