Note: This feature requires the Material Request & Approval module licensed at your site.
An MRAP task template is a list of MRAP tasks pre-defined for use in requests so you don't have to assemble each request's tasks one-by-one. Every template falls into one of the following types (or "uses"):
● Requester Template: A list of tasks performed by a requester as part of submitting a request. Because a request is not approved or rejected during its initial phase of creation and submission, a requester template cannot contain tasks of the Approve/Reject Request or Final Approval/Rejection types. A requester template can be selected as either of the following:
● The requester template for one or more request types. When a request type has a requester template selected, this template becomes the requester task list for all requests of this type. For details on request types, see Administration: Request Types.
● The "Default Requester Template" for a whole site. At this site, this template becomes the requester task list for any request of a request type that has no selected requester template (see previous). For details on this (and other) site settings, see Site Settings.
● Approver Template: A list of tasks performed by approvers to evaluate a request. This list can contain tasks of any type, but the final task in the list—the task in which the final decision to approve or reject the request is entered—must be an Approve/Reject Request or Final Approval/Rejection task. Unlike the tasks in a requester template, each task in an approver template can have the following properties defined:
● Responsible users and user groups: The users responsible for performing the task when it is due to be performed. When users and/or user groups are selected as responsible for a task, this has two effects:
● These users are automatically notified by email when the task is open to be performed for a request.
● These users have almost exclusive permission to perform the task. The only other users who can perform the task are the site's MRAP administrators (see Site Settings).
● "Key" status: A setting that requires a task to be completed before any following tasks in the approver task list can be performed. This can be useful if (for example) a later task should not be performed without an earlier request being completed, or if an early task yields information that makes the remaining tasks unnecessary.
An approver template can be selected as either of the following:
● The approer template for one or more request types. When a request type has an approver template selected, this template becomes the default approver task list for all requests of this type. For details on request types, see Administration: Request Types.
● The approver task list of an individual request. When building or editing a request's approver task list, you can select individual tasks and/or whole approver templates; in this operation, you can modify approver templates for the individual request (including the responsible users and "key" status of each task). For details on this operation, see Assembling/Editing an Approver Task List.
Note: Every approver template is a default approver task list only. All aspects of an approver template—its task composition and order, the settings of each task—can be modified for individual requests by any user Assembling/Editing an Approver Task List.
Use the administrative Templates page to view and manage the task templates in your system. Each template defined here becomes available for the operations described above for each type of template.
Note: If you are a local site user, whether you see Corporate-defined MRAP task templates on this page depends on your site's Include Corporate Values setting for its Material Request & Approval module configuration (see Site Settings):
● Setting selected: Corporate-created templates are visible and available for operations at your local site.
● Setting cleared: Corporate-created templates are neither visible nor available. Your site must create its own local items to support its operations.
To view the MRAP task templates available at your site:
Starting at the Application Administration page (How do I get there?), do the following:
1. In the menu on the left, under MATERIAL REQUEST, click Templates.
The administrative Templates page opens, showing all MRAP task templates available at your site. Each template's properties are shown in the following columns:
● Scope: The origin of the template, indicated by one of the following icons:
Template was created at Corporate. It is available for operations at any site using Corporate values (see note for local site users above), but can be edited or deleted by a Corporate user only.
Template was created at your local site. It is available for operations at your site only, and can be edited and deleted by a local site user only.
● Template Name: The identifying name or code of the template.
● Description: A description of the template's details, intent, requirements, and/or other important information.
● Use: Indicates whether the template is a requester template (Req) or an approver template (App).
2. Optional: To view a template's task list, click the template name.
The template's task list is displayed. In an approver template, any task showing a key () icon must be completed before any following tasks can be performed.

● Editing an MRAP Task Template's Properties: Change the name, use, description, and/or instructions of any existing template created at your site.
● Editing an MRAP Task Template's Tasks: Build the task list of a new template or edit the task list of an existing template. In an approver template, assign "key" status and/or responsible users to each task as appropriate.
● Deleting an MRAP Task Template: Permanently remove an obsolete or otherwise unwanted template from your system.
