Note: This feature requires both of the following modules licensed at your site:
● Chemical Inventory
● HandHeld Inventory
The HandHeld Inventory module supplements the Chemical Inventory module by adding the ability to update your lot inventory records using a handheld bar-code scanner. Typically, this process runs like this:
1. You select the location where you will take handheld inventory.
2. Using a handheld scanner, you scan the bar-code labels of all lots in the selected location.
3. You upload the scanned bar-codes to Comply Plus.
4. Comply Plus automatically examines each scanned lot—comparing its recorded current location to the selected location where its bar-code was scanned—and does one of the following:
● Lot's recorded current location matches (or is a sub-location within) the selected location where it was scanned: Comply Plus enters an "HH Scan" No Operation transaction in the lot's transaction history. This transaction confirms the lot's presence and unchanged location, and has no effect on the lot's running balance.
● Lot's recorded current location is outside the selected location where it was scanned: Comply Plus enters an "HH Out" Transfer Out / "HH In" Transfer In transaction pair in the lot's transaction history. These two transactions correct the lot's recorded current location by transferring it to the selected location where it was scanned.
Optionally, you can follow this process by running the Physical Inventory Wizard on the location(s) where you took handheld inventory. This tool identifies all lots at the selected location(s) that have no transaction activity on or since a cut-off date you supply—typically, the date when you began taking handheld inventory. Because every scanned lot has at least one transaction since this date (a No Operation or a Transfer Out / Transfer In pair), any lot with no transactions since this date might be absent from inventory, and you can have these lots depleted and deactivated in the final step of the Physical Inventory Wizard. For more information, see Taking Physical Inventory.
To successfully take handheld inventory, you need all of the following:
● A bar-code label generated and printed in Comply Plus for every lot you want to scan (see Printing Lot Labels).
● At least one compatible handheld device using the Palm OS (version 3.0 or later). To ensure compatibility, contact Customer Care regarding your preferred device model.
● A handheld device defined in Comply Plus to represent each bar-code scanner device (see Managing HandHeld Device Definitions).
● A DSM (data station manager) defined in Comply Plus to represent every workstation serving as a docking station for handheld devices (see Managing DSMs).
● The Sphera Data Station Manager application installed and configured on each workstation serving as a docking station for handheld devices (see Installing/Configuring the DSM Application).
See the following topics for details on handheld inventory features and procedures:
● Managing HandHeld Devices: Create, edit, and delete the handheld device profiles that represent the devices you use for scanning bar-codes.
● Managing DSMs: Create, edit, and delete the DSMs (data station managers) that represent the workstations where handheld devices will dock and upload data to Comply Plus.
● HandHeld Inventory Site Overview: Get an overview of all DSMs defined in your system, the handheld devices assigned to each, and the assigned location of each device.
● Installing/Configuring the DSM Application: Install and configure the Sphera Data Station Manager application on each workstation serving as a docking station for handheld devices.
● Taking HandHeld Inventory: After all definitions and configurations are in place, take handheld inventory to update your lot inventory records.
