Editing a Hazard Classification's Items

Edit a hazard classification's items to do one or more of the following:

        View the classification's items and their properties;

        Add one or more new items;

        Edit the properties of one or more items;

        Remove one or more items;

        Change the order of the items.

Exactly which of these changes you can make depends on where you are logged in and the source of the classification:

        Sphera-supplied classification: Both Corporate and local site users can modify the classification's items' "Hide" properties as they apply to their respective scopes; all other item properties can be viewed only. Local site users cannot edit the actual items contained in the classification; Corporate users can add and re-order items only.

        Corporate-created classification: Local site users can only modify the classification's items' "Hide" properties as they apply to the local site. Corporate users can make any changes to the items.

        Local site classification: Local site users can make any changes to the classification's items. Local classifications are invisible to Corporate users.

When you add or edit a hazard classification item, you enter or update its properties (respectively). Each item's properties can include any or all of the following, depending on the properties of the classification (see each property below for specifics):

        Code: The item's standard short name or ID code. (Available if the classification's properties have the "Uses Code" option selected; for details, see Editing a Hazard Classification's Properties.) If a code includes a blank—three underscores in square brackets: [___]—this blank can be filled in for a specific product or chemical when the item is assigned to it.

        Short Description: A short description of the hazard or other condition represented by the item. (Available if the classification's properties have the "Uses Short Description" option selected; for details, see Editing a Hazard Classification's Properties.) If a short description includes a blank—three underscores in square brackets: [___]—this blank can be filled in for a specific product or chemical when the item is assigned to it.

        Long Description: A more complete description of the hazard or other condition represented by the item. (Available if the classification's properties have the "Uses Long Description" option selected; for details, see Editing a Hazard Classification's Properties.) If a long description includes a blank—three underscores in square brackets: [___]—this blank can be filled in for a specific product or chemical when the item is assigned to it.

        Icon File Name: The path and file name of the icon/symbol/pictogram representing the item. (Available if the classification's properties have the "Uses File" option selected; for details, see Editing a Hazard Classification's Properties.) How you enter this file name depends on where your Comply Plus system is hosted:

        Sphera-hosted: This property is managed by Sphera. Instead of entering a file path and name, submit the file to Sphera with relevant details.

        Locally installed: Enter the file path within the Resources\Classifications folder. If you haven't done so already, place the icon file in this folder. The location of the Resources folder is defined in your configuration as the "Path to Resources" (see Administration: Corporation Configuration).

        Hide from Picker: Select to hide the item from the menu of available classification items, thus preventing it from being newly selected for any product or chemical. (This does not remove the item from any product/chemical where it is already selected.) On a Corporate classification item, the setting chosen at the Corporate level has one of these effects at local sites:

        Selected at Corporate: Item is hidden from all menus at local sites. When viewed from a local site, this selected option appears in blue and cannot be locally changed.

        Cleared at Corporate: By default, the item is shown in all menus at local sites. Local sites can select this option to locally hide the classification's items and prevent them from being selected.

To view or edit a hazard classification's items:

Starting at the administrative Hazard Classifications page (How do I get there?), do the following:

1.      Find the hazard classification whose items you want to view/edit. If the desired classification currently has either of the "Hide" options selected, you must select Show Hidden Classifications in the lower left to include this classification on the display.

Note: The icon(s) shown in the Action column indicate whether you can edit the classification's items or merely view them:

 Shown by A) a Corporate classification when viewed by a local site user or B) a Sphera-supplied classification. You can view this classification's items and their properties, but see above for details on which properties you can edit.

 Shown by a classification created at your site. You can both view and edit this classification's items.

2.      In the Name column, click the name of the desired classification.

The classification's items are displayed. To include items with the "Hide from Picker" option selected (see above), select Show Hidden Items in the lower left.

3.      Do any of the following:

        To view an item's properties: In the Action column, click the view () or edit () icon to open the item's properties. View the properties as desired. Then click Close.

        To edit an item's properties: In the Action column, click the view () or edit () icon to open the item's properties. Edit each available property as desired (see above for details on each). Then click Save.

        To add an item: Click New Item in the lower right. In the fields that appear, enter the new item's properties (see above for details on each). Then click Save.

        To remove an item: In the Action column, click the item's remove () icon.

Note: You cannot delete a hazard classification item that is currently assigned to one or more products or chemicals.

        To change the order of the items: In the Sort column, click the sort () icon of an item you want to move, then click the position in the list where you want to move the item. Repeat until the items are in the desired order.

When you are done, click Done to return to the administrative Hazard Classifications page.
