Running Reports on a Collection

Run a report on a collection when you want a report focused completely on the items in the collection. The report automatically excludes all other items, and can be further filtered to also exclude items in the collection that do not match your criteria.

Note: Some reports are not designed to be run on collections, and are not available for this operation.

To run a report on a collection:

Starting at the Collection Home page (How do I get there?), do the following:

1.      Click the Run Reports icon in the toolbar. (If this icon is not displayed, no reports are available for this report.) The Reports page opens, showing the report type corresponding to the collection’s type (e.g., part reports for a part collection); of these, the display shows only the reports that can be run on the collection. If you change to a report type that cannot be run on the collection, the collection is no longer selected.

2.      Click the desired report to open its Search Criteria page. (See Reports for details on the different reports and their criteria.) As with a search engine, define any criteria you wish. The report output will include only those items in the collection that match your criteria.

3.      Click the Run Report button. If you chose a Crystal report in step 2, its output opens in a Crystal Reports Viewer window; print it using the icon in the upper left-hand corner of the window, or export it (as an Excel spreadsheet, for example) using the icon. If you chose a Quick View report in step 2, its output opens as a simple graph that can be viewed and printed like any website; if you chose to generate it as an Excel spreadsheet, you can edit and save it like any other Excel document.
