Running a Report

Use the procedure below to manually run a report once. This is a general procedure that can be used with any available report that isn't an inventory report (for details on this unique report type, see Inventory Reports), but each report offers its own unique criteria and options. Before you run a report, find it in one of the following topics to learn its details:

In addition to this method of running a report, Comply Plus offers additional options:

        Running Reports on a Collection: Run a report that is automatically focused on the items in a collection.

        Scheduled Reports: Set a report to automatically run on a regular schedule (using the options and criteria you select for it) and email its output to one or more recipients.

Note: When running an SDS report, remember the report data comes from the SDS's indexed data (its recorded primary information, ingredients, and so on), not from its text/image file content.

To run a report:

Starting at the desired Reports page (How do I get there?), do the following:

1.      Click the name of the report you wish to run. (See below for descriptions of all standard reports.) The report’s Search Criteria page will appear.

Note: Crystal reports offer a link to fonts & utilities. If you haven't yet downloaded the Crystal Reports Viewer application, use this link to download and install before continuing.

2.      Define any of the criteria the page offers; each criterion you define will narrow the report output to exclude those items that do not match the defined criterion. Also select all desired report options. (For details on the effects of a specific report's criteria and options, find the report in the topic devoted to that report's category; for example, SDS Reports.)

3.      If any Sort buttons appear on the page, click one to sort the items in your report by the adjacent field. You may sub-sort the report’s items by clicking a second Sort button (and a third, a fourth, etc.). To remove a sorting factor, select it in the Sort Order box and click the Remove button.

4.      If you are running a Quick View report, each field shows an eye () icon. To hide a field’s column from the report output, cross out this icon by clicking it. (Note: Even if you hide a field’s column, any criterion entered in the field will still affect the report output.)

5.      If you are running a Quick View report and wish to generate it in a format other than a simple graph in your browser, check the Export to Excel checkbox to generate the report as an Excel spreadsheet (and, if the report includes hyperlinks, check the Include Hyperlinks box to include the report’s hyperlinks in the spreadsheet; if you leave this box blank, the hyperlinks will be converted to plain text) or the Export as tab delimited file checkbox to generate the report as a tab delimited text (.TXT) file.

6.      Click the Run Report button. The report will be run on all SDSs that obey the search criteria you defined. The report output depends on the format of the report:

        A Crystal report opens in a Crystal Report Viewer window; you may print it by clicking the print () icon in the upper-left corner of the window, or export it (as an Excel spreadsheet, for example) by clicking the envelope () icon in the upper left-hand corner of the window.

        A Quick View report opens as a simple graph that can be viewed and printed like any other website; if it was generated as an Excel spreadsheet, it can also be edited and saved like any other Excel document.

        A Telerik report opens in a Telerik report viewer. If the report output includes multiple pages, use the pagination tools in the upper left to navigate these pages. To print the report, click the print preview () icon; if this previews the desired printout, click the print () icon to print. To export the report to a different file format, select the desired format in the menu at the top of the page, then click Export.
