System Reports

Comply Plus includes the standard system reports listed below, which show various aspects of your system's basic data, such as user accounts, location trees, user-defined fields available for products and other items, and more. This report list includes the following for each report:

        Title and format (Crystal or Quick View; see Reports for details on these report formats);

        A description of the report's purpose and output;

        The available criteria you can use to focus the report output on specific data (like entering search criteria to focus a search on specific data);

        Any available options that alter the appearance, format, or effect of the report output.

        Running a Report: Manually run the report on the whole system. Available for all reports listed below.

        Scheduled Reports: Set the report to run automatically on a regular schedule. Available for all reports listed below.

Add-Ons and Owners (Quick View)

This report shows the add-on modules currently defined in your system, including details on each add-on module's owner (the user who created it) and the sites where it is available for use.

Add-on modules are external or custom pages added onto your Comply Plus system. For details, see Administration: Add-On Modules.

Available Criteria:

        Add-On Name: Include only add-on modules with names matching or containing this criterion.

        Owner Site: Include only add-on modules created by users at these sites.

        Owner: Include only add-on modules created by users with user names or full names matching or containing this criterion.

        Owner User Group: Include only add-on modules created by users belonging to user groups with names matching or containing this criterion.

        Owner User Group Site: Include only add-on modules created by users belonging to user groups from these sites.

        Who Can Use Add-On: Include only add-on modules that can be licensed at this scope, which is defined as follows:

        For global add-on modules: All Sites (Global)

        For site-specific add-on modules: Only [site name]

        Site Using Add-On: Include only add-on modules licensed at these sites.

Available Options:

        Export to Excel: Generate the report output as an Excel file.

        Export as tab delimited file: Generate the report output as a tab-delimited text file.

Collections and Owners (Quick View)

This report shows collections in your system, including collections of various types (SDS, part, and so on) and from various sites. For details on collections and their uses, see Collections.

Available Criteria:

        Collection Name: Include only collections with names matching or containing this criterion.

        Who Can See It: Include only collections with this level of access/visibility, which is defined as follows:

        Private collections: [Creator user name] ([creator full name]) of [creator user group] (a [Corporate / local site name] user group)

        Site collections: Anyone at [site name]

        Global collections: Anyone

        Owner: Include only collections created by users with user names or full names matching or containing this criterion.

        Owner Site: Include only collections created by users from these sites.

        Owner User Group: Include only collections created by users belonging to user groups with names matching or containing this criterion.

        Owner User Group Site: Include only collections created by users belonging to user groups from these sites.

        Collection Site: Include only collections created at these sites.

        Access: Include only collections with these levels of access.

        Product Type: Include only collections of these types of data.

Available Options:

        Export to Excel: Generate the report output as an Excel file.

        Export as tab delimited file: Generate the report output as a tab-delimited text file.

Data Update Log (Quick View)

The Data Update Log is a record of data operations and updates in your system, such as the addition of new locations, archiving of SDSs, updating of secondary labels, and so on. Administrators can view the Data Update Log using a separate interface (see Administration: Data Update Log), but the view provided by this report offers the following benefits:

        Shows each log entry in greater detail than the administrative view;

        Can be filtered (using the criteria below) to show only log entries having specific properties.

Available Criteria:

        Sites: Include only log entries related to operations at these sites.

        Description: Include only log entries with descriptions matching or containing this criterion.

        Unique Key: Include only log entries whose operations affect items with unique IDs matching or containing this criterion. (Example: An SDS's unique key is its file name.)

        Unique Key Label: Include only log entries whose operations affect items with unique keys of these types.

        Target Table: Include only log entries whose operations affect data of these types.

        Operation: Include only log entries indicating these operations.

        Log Date: Include only log entries added to the Data Update Log on dates obeying this criterion.

        Category: Include only log entries indicating operations of these types.

        New Entry: Include only "new" log entries that have not been marked "read" by an administrator (Yes) or "read" log entries (No).

Available Options:

        Export to Excel: Generate the report output as an Excel file.

        Export as tab delimited file: Generate the report output as a tab-delimited text file.

Location Models (Quick View)

This report shows a simple list of locations, including each location's ID (as defined by administrators; see Administration: Locations), site, hierarchical name, active/inactive status, and depth. A location's depth is a number indicating its level in its location tree; a top-level ("root") location has a depth of 1, its immediate sub-location has a depth of 2, and so on.

Available Criteria:

        Location ID: Include only locations with ID codes/numbers matching or containing this criterion.

        Sites: Include locations from these sites only.

        Locations: Include these locations (and their sub-locations) only.

        Depth: Include only locations with these levels of depth in their trees.

        Location Active: Include only active locations (Yes) or inactive locations (No).

Available Options:

        Export to Excel: Generate the report output as an Excel file.

        Export as tab delimited file: Generate the report output as a tab-delimited text file.

Login History (Quick View)

This report shows the login history of one or more sites, including successful standard logins, Super User logins, and failed login attempts (see "Login Action" criterion below).

Available Criteria:

        Sites: Include only login actions that occurred at these sites.

        Action Date: Include only login actions that occurred on dates obeying this criterion.

        Login Action: Include only login actions of these types. Available login actions include:

        Login Failure: A failed login attempt resulting from an incorrect password entered with a correct user name.

        Standard Login: A successful login using a standard user account.

        Super User Login: A successful login using the Super User account. (For details, see Administration: Corporation Configuration.)

        User Name: Include only login actions performed using accounts with user names matching or containing this criterion.

        Full Name: Include only login actions performed using accounts with full names matching or containing this criterion.

        User Group: Include only login actions performed using accounts from these user groups.

Available Options:

        Export to Excel: Generate the report output as an Excel file.

        Export as tab delimited file: Generate the report output as a tab-delimited text file.

Reports (Quick View)

This report shows the reports available in your system (including any custom reports designed specifically for your company) and the basic details of each report.

Note: Any report appearing in this report's output is available in your system, but must be granted to your user group to allow you to run it. For details, see Administration: User Groups.

Available Criteria:

        Report Type: Include only reports of these types.

        Report Name: Include only reports with names matching or containing this criterion.

        Description: Include only reports with descriptions matching or containing this criterion.

        Quick View: Include only Quick View reports (Yes) or reports of other formats, such as Crystal (No).

        Custom: Include only custom reports (Yes) or standard reports (No). (For details, see Reports.)

Available Options:

        Export to Excel: Generate the report output as an Excel file.

        Export as tab delimited file: Generate the report output as a tab-delimited text file.

Search Templates and Owners (Quick View)

This report shows the basic properties of SDS and part search templates and their owners (the users who created them). For details on search templates and their uses and properties, see the following topics:

Available Criteria:

        Template Name: Include only search templates with names matching or containing this criterion.

        Who Can See It: Include only search templates with this level of access/visibility, which is defined as follows:

        User (Private) templates: From [SDSs/Parts] when [creator user name] ([creator full name]) of [creator user group] (a [Corporate / local site name] user group)

        Site collections: From [SDSs/Parts] at [site name]

        Global collections: From [SDSs/Parts] Everywhere

        Owner: Include only templates created by users with user names or full names matching or containing this criterion.

        Owner Site: Include only templates created by users from these sites.

        Owner User Group: Include only templates created by users belonging to user groups with names matching or containing this criterion.

        Owner User Group Site: Include only templates created by users belonging to user groups from these sites.

        Template Site: Include only templates created at these sites.

        Access: Include only templates with these levels of access.

        Product Type: Include only templates that search SDSs or parts.

        Description: Include only templates with descriptions matching or containing this criterion.

Available Options:

        Export to Excel: Generate the report output as an Excel file.

Site Information (Quick View)

This report shows some basic properties of the sites in your Comply Plus system. Use the "Admin's Email Address" criterion (see below) to identify a site administrator's site by his/her email address.

Available Criteria:

        Site Name: Include only sites with names matching or containing this criterion.

        Admin's Email Address: Include only the site whose administrator has this email address.

        Site Code: Include only sites with codes/abbreviations obeying this criterion.

        Site Licensed Date: Include only sites that acquired licenses in your system on dates obeying this criterion.

        Site Active: Include only active sites (Yes) or inactive sites (No).

Available Options:

        Export to Excel: Generate the report output as an Excel file.

        Export as tab delimited file: Generate the report output as a tab-delimited text file.

Site Licenses (Quick View)

This report shows the licenses possessed by the sites in your corporation, including both site licenses and module licenses. Also see the next report ("Site Licenses Overview") for a different view of this data.

Available Criteria:

        Sites: Include licenses of these sites only.

        License Type: Include licenses of these types only.

        Site Active: Include licenses only from active sites (Yes) or inactive sites (No).

        Site Type: Include licenses only from sites of these types.

Available Options:

        Export to Excel: Generate the report output as an Excel file.

        Export as tab delimited file: Generate the report output as a tab-delimited text file.

Site Licenses Overview (Quick View)

This report shows the licenses—both site licenses and module licenses—possessed by the sites in your corporation. This is similar to the data shown by the "Site Licenses" report (see previous), but shows all of each site's licenses on a single line. Each site shows an X for each license it possesses and a blank for each license it does not possess.

Available Criteria:

        Sites: Include these sites only.

        Site Active: Include only active sites (Yes) or inactive sites (No).

        Full Site License: Include only sites with (X) or without (blank) a Full Site license.

        Limited Site License: Include only sites with (X) or without (blank) a Limited Site license.

        Basic Site License: Include only sites with (X) or without (blank) a Basic Site license.

        Secondary Labeling: Include only sites with (X) or without (blank) a Secondary Labeling module license.

        Chemical Inventory: Include only sites with (X) or without (blank) a Chemical Inventory module license.

        HandHeld Inventory: Include only sites with (X) or without (blank) a HandHeld Inventory module license.

        Tier II Reporting: Include only sites with (X) or without (blank) a Tier II Regulatory Reporting module license.

        Material Request and Approval: Include only sites with (X) or without (blank) a Material Request and Approval module license.

        Best Practices: Include only sites with (X) or without (blank) a Best Practices module license.

        Form R Reporting: Include only sites with (X) or without (blank) a Form R Regulatory Reporting module license.

Available Options:

        Export to Excel: Generate the report output as an Excel file.

        Export as tab delimited file: Generate the report output as a tab-delimited text file.

Sites and Categories (Quick View)

This report shows how sites are organized in your corporation's business structure, showing site categories, the site(s) belonging to each category, and the company and division to which each site belongs.

Available Criteria:

        Site Category: Include only these site categories.

        Category Description: Include only site categories with descriptions matching or containing this criterion.

        Sites: Include only these sites.

        Site Licensed Date: Include only sites that acquired licenses in your system on dates obeying this criterion.

        Site Active: Include only active sites (Yes) or inactive sites (No).

        Site Type: Include only sites of these types.

        Company Name: Include only sites belonging to companies with names matching or containing this criterion.

        Division Name: Include only sites belonging to divisions with names matching or containing this criterion.

Available Options:

        Export to Excel: Generate the report output as an Excel file.

        Export as tab delimited file: Generate the report output as a tab-delimited text file.

Sites and Users (Quick View)

This report shows sites and the users at each, including each user's basic identification, contact information, and a summarized login history at the site.

Available Criteria:

        Site Names: Include only these sites.

        Site Code: Include only sites with codes (abbreviations) obeying this criterion.

        Site Admin Email: Include only sites whose administrators' email addresses match or contain this criterion.

        Site Licensed Date: Include only sites that acquired licenses in your system on dates obeying this criterion.

        Site Active: Include only active sites (Yes) or inactive sites (No).

        User Login Name: Include only users with login names (user names) matching or containing this criterion.

        User Full Name: Include only users with full names matching or containing this criterion.

        User Email: Include only users with email addresses matching or containing this criterion.

        User NT Login: Include only users with network login names (standard format: domain\username) matching or containing this criterion.

        User First Login: Include only users who first logged into Comply Plus on dates obeying this criterion.

        User Last Login: Include only users who most recently logged into Comply Plus on dates obeying this criterion.

        User Login Count: Include only users whose total numbers of logins obey this criterion.

        User Active: Include only active users (Yes) or inactive users (No).

        User Group: Include only users from these user groups.

        User Group Description: Include only users from user groups with descriptions matching or containing this criterion.

        User Group Type: Include only users from user groups of these types.

Available Options:

        Export to Excel: Generate the report output as an Excel file.

        Export as tab delimited file: Generate the report output as a tab-delimited text file.

Units of Measure (Quick View)

This report shows the units of measure available for the quantities and values in your system, including both Corporate-level units and site-specific units. For more details on units of measure, see Administration: Units of Measure.

Available Criteria:

        Scientific Type: Include only units of these scientific types.

        Unit of Measure: Include units with names matching or containing this criterion.

Available Options:

        Export to Excel: Generate the report output as an Excel file.

        Export as tab delimited file: Generate the report output as a tab-delimited text file.

User-Defined Pick Lists (Quick View)

This report shows the user-defined pick lists available to a site—both Corporate-level and site-specific—including each pick list's category, list items, and the sort order of each item.

Available Criteria:

        Site Names: Include only user-defined pick lists available at these sites.

        Category: Include only user-defined pick lists from these pick list categories.

        List Name: Include only user-defined pick lists with names matching or containing this criterion.

        Sort Order: Include only user-defined pick list items with sort order numbers matching or containing this criterion. (Example: The first item in a list has a sort order of 1, the second has a sort order of 2, and so on.)

        List Entry: Include only user-defined pick list items with names matching or containing this criterion.

Available Options:

        Export to Excel: Generate the report output as an Excel file.

        Export as tab delimited file: Generate the report output as a tab-delimited text file.

User-Defined Setup (Quick View)

This report shows the user-defined records created at different sites, including each record's fields, the types of data entries they accept, and any user-defined pick lists involved.

For details on user-defined records, fields, and pick lists, see Administration: User-Defined Data.

Note: This report shows available user-defined records, but does not show the data entered in each user-defined record's fields. For this information see the "User-Defined Values" report below.

Available Criteria:

        Site Names: Include only user-defined records from these sites.

        Object Type: Include only user-defined records that apply to data objects with names matching or containing this criterion. (Examples: SDS, Ingredient, Material Request.)

        Data Category: Include only user-defined records from these categories.

        Record Type: Include only these user-defined records.

        Field: Include only these user-defined record fields.

        Value Type: Include only user-defined record fields that accept these types of data entries.

        Pick List Category: Include only user-defined record fields of the Pick List type that use pick lists from these pick list categories.

        Pick List: Include only user-defined record fields of the Pick List type that use these pick lists.

Available Options:

        Export to Excel: Generate the report output as an Excel file.

        Export as tab delimited file: Generate the report output as a tab-delimited text file.

User-Defined Setup (Telerik)

Similar to the Quick View report above, this report shows the user-defined records that can be filled in for items in your system, including each record's fields, the type of data entry each field accepts, and any user-defined pick lists involved.

Because the Corporate site and local sites have different access levels, this report offers different options (selected using the Sites criterion described below) depending on where you are logged in:

        At Corporate, this report shows user-defined records created at any local site(s) and/or the Corporate site.

        At a local site, this report shows records created at Corporate and/or records created at the local site. (Records from other local sites are not available.)

Note: This report shows available user-defined records, but does not show the data entered in each user-defined record's fields. For this information see the "User-Defined Values" report below.

Available Criteria:

        Sites: This criterion differs depending on where you are logged in:

        Corporate site: Show user-defined records created at all of these sites.

        Local site: Show one of the following:

        User-defined records created at this local site (Current Site Only);

        User-defined records created at the Corporate site (Corporate Only);

        User-defined records created at this local site and records created at the Corporate site (Both).

        Object Type: Include only user-defined records that apply to this type of data object.

Available Options:

        None

User-Defined Values (Quick View)

This report shows the values entered in user-defined records, including details on the records in which the values were entered and the specific data objects (such as an SDS, a lot, or a material request) for which the values were entered.

Available Criteria:

        Site Names: Include only values entered in user-defined records from these sites.

        Object Type: Include only values entered for data types with names matching or containing this criterion. (Examples: SDS, Ingredient, Material Request.)

        Object ID: Include only values entered for data objects (chemicals, SDSs, parts, and so on) with identifiers (CAS numbers, file names, part numbers, and so on) matching or containing this criterion.

        Data Category: Include only values entered in user-defined records from these categories.

        Record Type: Include only values entered in these user-defined records.

        Field: Include only values entered in these user-defined record fields.

        Value: Include only values matching or containing this criterion.

        Value Type: Include only values of these data entry types.

Available Options:

        Export to Excel: Generate the report output as an Excel file.

        Export as tab delimited file: Generate the report output as a tab-delimited text file.

User Group Permissions (Quick View)

This report shows user groups and the access points currently granted to each. For each access point, the report output shows whether each user group has each of the following individual permissions within the access point:

        Read: Permission to view the data or feature corresponding to the access point.

        Update: Permission to add and/or edit data in the feature corresponding to the access point.

        Delete: Permission to delete data in the feature corresponding to the access point.

Available Criteria:

        Site Names: Include only user groups from these sites.

        User Group: Include only these user groups.

        Group Description: Include only user groups with descriptions matching or containing this criterion.

        Group Scope: Include only user groups of these scopes.

        Active: Include only active (Yes) or inactive (No) user groups.

        Access Point Category: Include only access points from these access point categories.

        Access Point: Include only access points with names matching or containing this criterion.

        Read Access: Include only access points in which the user group has the "Read" permission (Yes) or does not have the "Read" permission (No).

        Update Access: Include only access points in which the user group has the "Update" permission (Yes) or does not have the "Update" permission (No).

        Delete Access: Include only access points in which the user group has the "Delete" permission (Yes) or does not have the "Delete" permission (No).

Available Options:

        Export to Excel: Generate the report output as an Excel file.

        Export as tab delimited file: Generate the report output as a tab-delimited text file.

User Groups with Users (Quick View)

This report shows user groups and the users belonging to them, including each user's last login date and other selected details. For more details on user groups and the users in them, see Administration: Security.

Available Criteria:

        Group Scope: Include only user groups of these scopes.

        User Group: Include only these user groups.

        Group Description: Include only user groups with descriptions matching or containing this criterion.

        Group Active: Include only active (Yes) or inactive (No) user groups.

        Sites: Include only users from these sites.

        User Name: Include only users with user names matching or containing this criterion.

        Full Name: Include only users with full names matching or containing this criterion.

        User Description: Include only users with descriptions matching or containing this criterion. (Applies only to users not linked to contacts.)

        Contact ID: Include only users with contact IDs matching or containing this criterion. (Applies only to users linked to contacts.)

        User NT Login: Include only users with network login names (standard format: domain\username) matching or containing this criterion.

        User Active: Include only active users (Yes) or inactive users (No).

        Last Login Date: Include only users who most recently logged into Comply Plus on dates obeying this criterion.

Available Options:

        Export to Excel: Generate the report output as an Excel file.

        Export as tab delimited file: Generate the report output as a tab-delimited text file.

Users with User Groups (Quick View)

This report shows users—including each user's last login date and other selected details—and the users groups to which they belong. For more details on users and their user groups, see Administration: Security.

Available Criteria:

        Sites: Include only users from these sites.

        User Name: Include only users with user names matching or containing this criterion.

        Full Name: Include only users with full names matching or containing this criterion.

        User Description: Include only users with descriptions matching or containing this criterion. (Applies only to users not linked to contacts.)

        Contact ID: Include only users with contact IDs matching or containing this criterion. (Applies only to users linked to contacts.)

        User NT Login: Include only users with network login names (standard format: domain\username) matching or containing this criterion.

        User Active: Include only active users (Yes) or inactive users (No).

        Last Login Date: Include only users who most recently logged into Comply Plus on dates obeying this criterion.

        User Group: Include only users in these user groups.

        Group Description: Include only users in user groups with descriptions matching or containing this criterion.

        Group Scope: Include only users in user groups of these scopes.

        Group Active: Include only users in active (Yes) or inactive (No) user groups.

Available Options:

        Export to Excel: Generate the report output as an Excel file.
