MRAP Reports

Note: This feature requires the Material Request & Approval module licensed at your site.

Comply Plus includes the standard MRAP reports listed below, which show various data related to the process of material request submission, evaluation, and decision implemented by the Material Request & Approval module at your site. (For details, see Material Request & Approval.) This report list includes the following for each report:

        Title and format (Crystal or Quick View; see Reports for details on these report formats);

        A description of the report's purpose and output;

        The available criteria you can use to focus the report output on specific data (like entering search criteria to focus a search on specific data);

        Any available options that alter the appearance, format, or effect of the report output.

        Running a Report: Manually run the report on the whole database of requests. Available for all reports listed below.

        Scheduled Reports: Set the report to run automatically on a regular schedule. Available for most (not all) reports listed below.

Material Request Consumption Information (Quick View)

This report shows requests that include one or more Consumption Values MRAP tasks (see MRAP Task Type: Consumption Values). For each request, the report output shows its basic properties, the Consumption Values task(s) it contains, and the data entered for each task (if the task is started or completed): consumption expected usage, usage frequency, expected maximum, expected average, and comments. In the report output, click any request number to open that request in a new window.

Available Criteria:

        Site Names: Include requests at these sites only.

        Product Name: Include only requests with requested material product names matching or containing this criterion.

        Manufacturer: Include only requests with requested material manufacturer names matching or containing this criterion.

        Request Number: Include only requests with request numbers obeying this criterion.

        Status: Include only requests of these request statuses.

        Task Type: Include only Consumption Values tasks with these descriptions.

        Task: Include only ingredients of this CAS number.

        Consumption Location: Include only started or completed Consumption Values tasks in which these locations were entered.

        Expected Usage: Include only started or completed Consumption Values tasks in which this number was entered as the usage quantity.

        Usage Frequency: Include only started or completed Consumption Values tasks in which this number was entered as the usage quantity frequency.

        Expected Maximum: Include only started or completed Consumption Values tasks in which this number was entered as the maximum quantity.

        Expected Average: Include only started or completed Consumption Values tasks in which this number was entered as the average quantity.

        Comments: Include only started or completed Consumption Values tasks in which the entered comments match or contain this criterion.

Available Options:

        Export to Excel: Generate the report output as an Excel file.

        Export as tab delimited file: Generate the report output as a tab-delimited text file.

Material Request with Selected User-Defined Fields (Crystal)

This report shows requests and the user-defined data entered in their User-Defined tasks (for details, see MRAP Task Type: User-Defined Task). On the report’s Search Criteria page, click Filter on Material Request User Defineds to choose which user-defined fields appear on the report. You may do any of the following for each field you select:

        Enter no criterion for the field. The report output will show this field for each request in the report output, regardless of what (or whether) data is entered for the request in a User-Defined task.

        Enter no criterion for the field and select its Restrict where [user-defined field name] is assigned option. The report output will show this field for each request in the report output, but will include only requests with data entered in this field in a User-Defined task.

        Enter a criterion for the field. The report output will show this field for each request in the report output, but will include only requests with data obeying your criterion entered in this user-defined field in a User-Defined task.

Note: Select no more than three user-defined fields. This is the maximum amount the report output can display.

Available Criteria:

        Product Name: Include only requests with requested material product names matching or containing this criterion.

        Manufacturer: Include only requests with requested material manufacturer names matching or containing this criterion.

        Request Date: Include only requests created on dates obeying this criterion.

        Material Request User-Defined Data: Include this user-defined data for the requests in the report output and/or include only requests with this data assigned. (See above for details.)

        Request Number: Include only requests with request numbers matching or containing this criterion.

        Request Status: Include only requests of these request statuses.

        Requester Name: Include only requests with requester names matching or containing this criterion.

Available Options:

        None

Material Requests (Quick View)

This report shows requests and their basic properties: requested material name and manufacturer, request number, request type, date of last activity, current request status, and requester information. In the report output, click any request number to open that request in a new window.

Available Criteria:

        Site Names: Include requests at these sites only.

        Product Name: Include only requests with requested material product names matching or containing this criterion.

        Manufacturer: Include only requests with requested material manufacturer names matching or containing this criterion.

        Request Number: Include only requests with request numbers obeying this criterion.

        Request Type: Include only requests of these request types.

        Last Activity: Include only requests whose last activity dates obey this criterion.

        Status: Include only requests of these request statuses.

        Request Date: Include only requests created on dates obeying this criterion.

        Requester: Include only requests with requester names matching or containing this criterion.

        Requester Email: Include only requests with requester email addresses matching or containing this criterion.

        Requester Phone: Include only requests with requester phone numbers matching or containing this criterion.

Available Options:

        Export to Excel: Generate the report output as an Excel file.

        Export as tab delimited file: Generate the report output as a tab-delimited text file.

MRAP Requests Responsible Users and Groups (Quick View)

This report shows requests, their tasks, and the users and user groups responsible for performing each task. When a task has an assigned responsible user, the report output also shows that user's email address. In the report output, click any request number to open that request in a new window.

Available Criteria:

        Sites: Include requests at these sites only.

        Request Number: Include only requests with request numbers obeying this criterion.

        Status: Include only requests of these request statuses.

        Type: Include tasks with these types of responsible user assignment:

        None: No responsible users or user groups are assigned.

        Request Task GROUP: Responsible user group is assigned.

        Request Task USER: Responsible user is assigned.

        Responsible User Group: Include only tasks with these assigned responsible user groups.

        Responsible User: Include only tasks with these assigned responsible users.

        Email Address: Include only tasks with assigned responsible users with these email addresses.

        Task: Include only tasks with these descriptions.

        Completed: Include only completed tasks (Yes) or non-completed tasks (No).

Available Options:

        Export to Excel: Generate the report output as an Excel file.

        Export as tab delimited file: Generate the report output as a tab-delimited text file.

MRAP Responsible Users and Groups (Quick View)

This report shows the default responsible users and user groups of your system's tasks (see Administration: MRAP Tasks) and templates (see Administration: MRAP Task Templates).

Note: The responsible users and user groups shown by this report are administrative default assignments only and might not apply to any specific request's tasks. For a report showing the responsible users of tasks in specific requests, see the previous report.

Available Criteria:

        Sites: Include requests at these sites only.

        Type: Include these types of responsible user assignment:

        Approval Task Group: A responsible user group assigned to a task on the Tasks administrative page (see Administration: MRAP Tasks).

        Approval Task User: A responsible user assigned to a task on the Tasks administrative page (see Administration: MRAP Tasks).

        Approval Template Task Group: A responsible user group assigned to a task within a template on the Templates administrative page (see Administration: MRAP Task Templates).

        Approval Template Task User: A responsible user assigned to a task within a template on the Templates administrative page (see Administration: MRAP Task Templates).

        Responsible User Group: Include only assignments of these responsible user groups.

        Responsible User: Include only assignments of these responsible users.

        Email Address: Include only assignments of responsible users with these email addresses.

        Template Name: Only assignments of responsible users and user groups to these templates from the Templates administrative page.

        Task Name: Only assignments of responsible users and user groups to these tasks from the Tasks administrative page.

Available Options:

        Export to Excel: Generate the report output as an Excel file.

        Export as tab delimited file: Generate the report output as a tab-delimited text file.

Requests Status Report (Quick View)

This report shows requests and the details of each request's tasks, including each task's position in its task list, if/when it was started, if/when it was completed. In the report output, click any request number to open that request in a new window.

Available Criteria:

        Site Names: Include only requests at these sites.

        Request Number: Include only requests with request numbers obeying this criterion.

        Request Type: Include only requests of these request types.

        Request Date: Include only requests created on dates obeying this criterion.

        Approval Date: Include only requests approved on dates obeying this criterion.

        Status: Include only requests currently of these request statuses.

        Requester: Include only requests with requester names matching or containing this criterion.

        Requester Email: Include only requests with requester email addresses matching or containing this criterion.

        Requester Phone: Include only requests with requester phone numbers matching or containing this criterion.

        Task Name: Include only tasks with descriptions matching or containing this criterion.

        Requester Task: Include only requester tasks (Yes) or approver tasks (No).

        Task Sequence: Include only tasks whose positions in their task lists obey this criterion. (Example: The first task in either a requester task list or an approver task list has a Task Sequence value of 1. The next task in the list has a value of 2, and so on.)

        Started: Include only started/completed tasks (Yes) or unstarted tasks (No).

        Start Date and Time: Include only started/completed tasks with start dates/times matching or containing this criterion. (Format example: Mar 18 2014 3:25PM)

        Completed: Include only completed (Yes) or incomplete/unstarted tasks (No).

        Completion Date and Time: Include only completed tasks with completion dates/times matching or containing this criterion. (Format example: Mar 20 2014 12:53PM)

Available Options:

        Export to Excel: Generate the report output as an Excel file.

        Export as tab delimited file: Generate the report output as a tab-delimited text file.

SDS with/without Material Requests (Quick View)

This report shows SDSs and whether each one has been selected in an MRAP task of the SDS or SDS Abbreviated type; this generally means the selected SDS represents a requested material. The report output shows each SDS's basic properties and, if it has been selected in a request, the properties of the associated request.

In the report output, click any SDS file name to open that SDS in a new window; click any request number to open that request in a new window.

Available Criteria:

        Site Names: Include only SDSs assigned to these sites.

        Product Name: Include only SDSs with common names matching or containing this criterion.

        File Name: Include only SDSs with file names obeying this criterion.

        Archived: Include only SDSs that are locally archived (Yes) or locally active (No) at each site.

        Has Request: Include only SDSs with (Yes) or without (No) an associated request.

        Request Number: Include only SDSs with associated request numbers obeying this criterion.

        Request Type: Include only SDSs with associated requests of these request types.

        Status: Include only SDSs with associated requests currently of these request statuses.

        Proprietary SDS: Include only proprietary (Yes) or non-proprietary (No) SDSs.

Available Options:

        Export to Excel: Generate the report output as an Excel file.

        Export as tab delimited file: Generate the report output as a tab-delimited text file.
