Lot Reports

Note: This feature requires the Chemical Inventory module licensed at your site.

Comply Plus includes the standard lot reports listed below, which show various aspects of your lot database. This report list includes the following for each report:

        Title and format (Crystal or Quick View; see Reports for details on these report formats);

        A description of the report's purpose and output;

        The available criteria you can use to focus the report output on specific data (like entering search criteria to focus a search on specific data);

        Any available options that alter the appearance, format, or effect of the report output.

        Running a Report: Manually run the report on the whole lot database. Available for all reports listed below.

        Running Reports on a Collection: Manually run the report, focusing it on a specific lot collection. Available for most (not all) reports listed below.

        Scheduled Reports: Set the report to run automatically on a regular schedule. Available for most (not all) reports listed below.

Note: Lots are purely local, site-specific entities. Therefore, lot reports cannot be run from the Corporate site.

Data Errors – Ingredients and Physical Data (Quick View)

This report shows lots that fulfill both of the following conditions:

        Lot's component defined as Lot-Specific (for details, see Lot Components);

        Lot has errors or missing data in its ingredients and/or physical data.

The report output's Ingredients column shows the status of each ingredient:

        No CAS: Ingredient has no recorded CAS number.

        No Error: Ingredient has no errors (but lot does have physical property errors; see below).

        No Operator: Ingredient value has no valid operator.

        No Percent High: Ingredient has no valid value.

        Not a Percentage: Ingredient value has no valid unit of measure.

The report output's Physical Properties column shows the status of each lot's physical properties:

        Error: Lot has no recorded density or specific gravity.

        No Error: Lot has a recorded density and/or specific gravity (but does have ingredient errors; see above).

In the report output, click a lot number to open that lot in a new window (perhaps for the purpose of correcting an error).

Note: It is recommended that you run this report regularly to promptly identify and correct any gaps or errors in lot data that arise as your product database is updated. For details on setting reports to run automatically on a regular schedule, see Scheduled Reports.

Available Criteria:

        Sites: Include only lots from these sites.

        Ingredients: Include only ingredients with these error states.

        Physical Properties: Include only lots whose physical properties have this error state.

        Lot Number: Include only lots with lot numbers obeying this criterion.

        Product Name: Include only lots with product names matching or containing this criterion.

        Inactive: Include only active or inactive lots.

        CAS: Include only ingredients of this CAS number.

        Ingredient: Include only ingredients with names matching or containing this criterion.

        Contribution: Include only ingredients with contribution values matching or containing this criterion.

Available Options:

        Export to Excel: Generate the report output as an Excel file.

        Export as tab delimited file: Generate the report output as a tab-delimited text file.

Lot Chemical Properties (Crystal)

This report shows lots, the ingredients in their components, and each ingredient’s CAS number and contribution to the product.

Available Criteria:

        Lot Number: Include only lots with lot numbers matching or containing this criterion.

        Lot Description: Include only lots with descriptions matching or containing this criterion.

        Expiration Date: Include only lots with expiration dates obeying this criterion.

        Location: Include only lots currently at these locations.

        Show Inactive Lots: Include inactive lots in addition to active lots.

        Lot Quantity: Include only lots with current balance values obeying this criterion.

        Unit of Measure: Include only lots with current balances in these units of measure.

        Product Name: Include only lots with product names matching or containing this criterion.

        Lot Product is an SDS: Include lots with components defined as SDS.

        Lot Product is a Part: Include lots with components defined as Part.

        Lot-Specific CPP: Include lots with components defined as Lot-Specific.

Available Options:

        Two-Line Display: Show each lot's description and manufacturer on the report output.

Lot Classifications (Quick View)

This report lists lots and the hazard classification items assigned to each. The nature of the classification assignments shown depends on each lot's component definition (for details, see Lot Components):

        SDS or Part: Report output shows the hazard classification items assigned to the lot's component SDS or part.

        Lot-Specific: Report output shows the hazard classification items assigned directly to the lot.

In the report output, click any lot number to open that lot in a new window.

Available Criteria:

        Site Names: Include only lots from these sites.

        Locations: Include only lots currently at these locations.

        Product Name: Include only lots with product names matching or containing this criterion.

        Lot Number: Include only lots with lot numbers obeying this criterion.

        Lot State: Include only active or inactive lots.

        Class Category: Include only hazard classification item assignments from these classifications.

        Class Codes: Include only assignments of hazard classification items with names obeying this criterion.

Available Options:

        Export to Excel: Generate the report output as an Excel file.

        Export as tab delimited file: Generate the report output as a tab-delimited text file.

Lot Counts by Size and Location (Quick View)

This report shows how many lots of the same product and size (original balance) are present at each location.

Available Criteria:

        Site Names: Include only lots from these sites.

        Locations: Include only these locations.

        Product Name: Include only lots with product names matching or containing this criterion.

        Size: Include only lots with original balance values obeying this criterion.

        Unit: Include only lots with original balances in these units of measure.

        Number of Lots: Include only lot counts obeying this criterion.

Available Options:

        Export to Excel: Generate the report output as an Excel file.

        Export as tab delimited file: Generate the report output as a tab-delimited text file.

Lot Index (Crystal)

This report displays a simple list of lots, including each one’s lot number, product name, current location, and balance on hand.

Available Criteria:

        Lot Number: Include only lots with lot numbers matching or containing this criterion.

        Product Name: Include only lots with product names matching or containing this criterion.

        Expiration Date: Include only lots with expiration dates obeying this criterion.

        Current Locations: Include only lots currently at these locations.

        Show Inactive Lots: Include inactive lots in addition to active lots.

        Lot Quantity: Include only lots with current balance values obeying this criterion.

        Unit of Measure: Include only lots with current balances in these units of measure.

        Lot Description: Include only lots with descriptions matching or containing this criterion.

        Lot Product is an SDS: Include lots with components defined as SDS.

        Lot Product is a Part: Include lots with components defined as Part.

        Lot-Specific CPP: Include lots with components defined as Lot-Specific.

Lot Index (Quick View)

This report displays a list of lots, including each lot’s current location, original quantity, on-hand quantity, creation and expiration dates, and component. In the report output, click any lot number to open that lot in a new window; click any link in the Component column to open the component product's Home page in a new window.

Available Criteria:

        Sites: Include only lots from these sites.

        Lot Number: Include only lots with lot numbers obeying this criterion.

        Product Name: Include only lots with product names matching or containing this criterion.

        Manufacturer: Include only lots with manufacturer names matching or containing this criterion.

        Description: Include only lots with descriptions matching or containing this criterion.

        Ingredients: Include only ingredients with these error states.

        Locations: Include only lots currently at these locations.

        Original Quantity: Include only lots with original balance values obeying this criterion.

        Original UOM: Include only lots with original balances in these units of measure.

        On-Hand Quantity: Include only lots with current balance values obeying this criterion.

        On-Hand UOM: Include only lots with current balances in these units of measure.

        Creation: Include only lots created in your system on a date obeying this criterion.

        Expiration: Include only lots with expiration dates obeying this criterion.

        Current Owners: Include only lots with these current owners.

        Inactive: Include only active or inactive lots.

        Component Type: Include only lots with these component definitions.

        Component: Include only lots with components whose unique IDs match or contain this criterion. Each component ID is one of the following, depending on the lot's component definition:

        SDS: File name of the component SDS

        Part: Part number of the component part

        Lot-Specific: Lot number of the lot

        Component Inactive: Include only lots with active or inactive components.

Available Options:

        Export to Excel: Generate the report output as an Excel file.

        Export as tab delimited file: Generate the report output as a tab-delimited text file.

Lot Ingredients (Quick View)

This report shows lots with their ingredients (regardless of each part's component definition), including each ingredient's name, CAS number, and contribution amount in the product. In the report output, click any lot number to open that lot in a new window.

Available Criteria:

        Sites: Include only lots from these sites.

        Product Name: Include only lots with product names matching or containing this criterion.

        Manufacturer: Include only lots with manufacturer names matching or containing this criterion.

        Lot Number: Include only lots with lot numbers obeying this criterion.

        Current Owners: Include only lots with these current owners.

        Active: Include only active lots (Yes) or inactive lots (No).

        CAS: Include only lot ingredients with CAS numbers matching this criterion.

        Ingredient: Include only lot ingredients with names matching or containing this criterion.

        Contribution: Include only lot ingredients with contribution amounts matching or containing this criterion.

Available Options:

        Export to Excel: Generate the report output as an Excel file.

        Export as tab delimited file: Generate the report output as a tab-delimited text file.

Lot Location Counts (Quick View)

This report shows each location where lots reside and each location’s “deep lot count.” This is the total number of active lots currently at the location, including lots at its sub-locations (if it has any).

Available Criteria:

        Sites: Include only locations from these sites.

        Locations: Include only these locations.

        Deep Lot Count: Include only locations with "deep lot counts" (see above) obeying this criterion.

Available Options:

        Export to Excel: Generate the report output as an Excel file.

        Export as tab delimited file: Generate the report output as a tab-delimited text file.

Lot Physical Properties (Crystal)

This report lists lots and their physical properties: physical state, specific gravity, density, shelf life, vapor density, VOC, flash point, and NFPA/HMIS hazard ratings. Depending on each lot's component definition (see Lot Components), these properties may come directly from the lot or from its component product.

Available Criteria:

        Lot Number: Include only lots with lot numbers matching or containing this criterion.

        Lot Description: Include only lots with descriptions matching or containing this criterion.

        Expiration Date: Include only lots with expiration dates obeying this criterion.

        Location: Include only lots at these locations.

        Show Inactive Lots: Include inactive lots in addition to active lots.

        Lot Quantity: Include only lots with current balance values obeying this criterion.

        Unit of Measure: Include only lots with current balances in these units of measure.

        Product Name: Include only lots with product names matching or containing this criterion.

        Lot Product is an SDS: Include lots with components defined as SDS.

        Lot Product is a Part: Include lots with components defined as Part.

        Lot-Specific CPP: Include lots with components defined as Lot-Specific.

Available Options:

        Two Line Display: Show each lot's description and manufacturer on the report output.

Lot Report by Component Product (Crystal)

This report groups your site’s lots by component product and lists their basic information: lot number, description, and current balance.

Available Criteria:

        Lot Number: Include only lots with lot numbers matching or containing this criterion.

        Lot Description: Include only lots with descriptions matching or containing this criterion.

        Expiration Date: Include only lots with expiration dates obeying this criterion.

        Location: Include only lots at these locations.

        Show Inactive Lots: Include inactive lots in addition to active lots.

        Lot Quantity: Include only lots with current balance values obeying this criterion.

        Unit of Measure: Include only lots with current balances in these units of measure.

        Component Product Name: Include only lots whose component products' names match or contain this criterion.

        Lot Product is an SDS: Include lots with components defined as SDS.

        Lot Product is a Part: Include lots with components defined as Part.

        Lot-Specific CPP: Include lots with components defined as Lot-Specific.

Available Options:

        None

Lot Report by Location (Crystal)

This report groups your site’s lots by location and lists the following for each lot: lot number, product name, description, manufacturer, and current balance.

        Lot Description: Include only lots with descriptions matching or containing this criterion.

        Expiration Date: Include only lots with expiration dates obeying this criterion.

        Lot Quantity: Include only lots with current balance values obeying this criterion.

Lot Transaction History (Crystal)

This report shows lots and the full transaction history of each. Each transaction history includes each transaction's date, location, description, type, and quantity. For a more detailed view of a specific lot's transactions, see Viewing a Lot's Transaction History.

Available Criteria:

        Lot Number: Include only lots with lot numbers matching or containing this criterion.

        Lot Description: Include only lots with descriptions matching or containing this criterion.

        Product Name: Include only lots with product names matching or containing this criterion.

        Manufacturer: Include only lots with manufacturer names matching or containing this criterion.

        Expiration Date: Include only lots with expiration dates obeying this criterion.

        Location: Include only lots at these locations.

        Show Inactive Lots: Include inactive lots in addition to active lots.

        Lot Quantity: Include only lots with current balance values obeying this criterion.

        Unit of Measure: Include only lots with current balances in these units of measure.

        Product Name: Include only lots whose component products' names match or contain this criterion.

        Two Line Display: Show each lot's description and manufacturer on the report output.

Lot with Selected User-Defined Fields (Quick View)

This report shows lots and their user-defined data. On the report’s Search Criteria page, click Filter on Lot User Defined to choose up to three user-defined fields to appear on the report. You may do any of the following for each field you select:

        Enter no criterion for the field. The report output will show this field for each lot in the report output, regardless of what (or whether) data is entered for the lot.

        Enter no criterion for the field and select its Restrict where [user-defined field name] is assigned option. The report output will show this field for each lot in the report output, but will include only lots with data entered in this field.

        Enter a criterion for the field. The report output will show this field for each lot in the report output, but will include only lots with data obeying your criterion entered in this user-defined field.

Available Criteria:

        Product Name: Include only lots with product names matching or containing this criterion.

        Manufacturer: Include only lots with manufacturer names matching or containing this criterion.

        Lot Start Date: Include only lots created in your system on a date obeying this criterion.

        Location: Include only lots at these locations.

        Lot User-Defined: Include this user-defined data for the lots in the report output and/or include only lots with this data assigned. (See above for details.)

        Lot Number: Include only lots with lot numbers obeying this criterion.

        Include Inactive: Include inactive lots in addition to active lots.

Available Options:

        2-Line Display: Show each lot's lot number, description, current location, and current balance on the report output.

Physical Inventory - Lots Reporting (Crystal)

This report shows a list of locations where lots are present. Each location shows how many of these lots have undergone transactions and how many have not undergone transactions after a specified cut-off date. Each lot is classified as:

        Reporting: Has undergone one or more transactions since the cut-off date

        Not Reporting: Has undergone no transactions since the cut-off date

If inventory records imply that the lots "not reporting" are absent from inventory, you may wish to use the Physical Inventory Wizard to automatically consume and deactivate these lots. For details, see Taking Physical Inventory.

Available Criteria:

        Cut-Off Date: Required. Classify lots as "reporting" or "not reporting" based on their transaction activity after this date; see above for details.

        Location: Include only lots at these locations.

Available Options:

        None

Physical Inventory - Lots to Consume (Crystal)

This report shows lots that have undergone no transactions since a specified cut-off date (like the lots "not reporting" from the previous report; see above), including each lot's current balance and last recorded transaction date. If the same cut-off date were supplied to the Physical Inventory Wizard, these lots would be automatically consumed and deactivated. For details, see Taking Physical Inventory.

Available Criteria:

        Cut-Off Date: Required. Include only lots with no recorded transactions after this date.

        Location: Include only lots at these locations.
