Form R Reports

Note: This feature requires the Form R Regulatory Reporting module licensed at your site.

Comply Plus includes the standard Form R reports listed below, which show various data related to the preparation and maintenance of product usage data reportable on Form R. This list also includes the "final" Form R report ("Reportable Chemicals"; see below) that evaluates product usage data for the reporting year and displays the information needed for the yearly completion of Form R reporting. (For details, see Form R Regulatory Reporting.) This report list includes the following for each report:

        Title and format (Crystal or Quick View; see Reports for details on these report formats);

        A description of the report's purpose and output;

        The available criteria you can use to focus the report output on specific data (like entering search criteria to focus a search on specific data);

        Any available options that alter the appearance, format, or effect of the report output.

        Scheduled Reports: Set the report to run automatically on a regular schedule. Available for some (not all) reports listed below.

Chemical Category Assignments (Crystal)

This report shows Form R chemical categories and the product ingredients assigned to them. Under each category is listed each product in your system with at least one ingredient assigned to the category. Under each product are listed the CAS number, name, and contribution amount of each assigned ingredient.

Categories with no assigned ingredients are omitted from the report output. For details on assigning product ingredients to Form R chemical categories, see Auto-Assigning Product Ingredients to Form R Chemical Categories and Manually Assigning Product Ingredients to Form R Chemical Categories.

Available Criteria:

        Product Name: Include only ingredients from products with names matching or containing this criterion.

        Ingredient: Include only ingredients with names matching or containing this criterion.

        CAS: Include only ingredients with CAS numbers matching or containing this criterion.

        Chemical Categories: Include only these Form R chemical categories.

        Ingredient User-Defined: Include only ingredients with user-defined data obeying these criteria.

Available Options:

        None

Chemical Category Index (Crystal)

This report shows all Form R chemical categories available at your site. The output includes each category's scope (whether it was defined at Corporate or at your local site), name, ID code, and category-specific reporting threshold (if any). Use the report's sorting options to sort the output by category name (default) or by category code.

        Show Notes: Show the notes entered for each category.

Data Errors - Ingredient Contributions (Quick View)

In preparation for Form R reporting, this report helps you identify and correct missing or invalid ingredient data in your products by showing each ingredient that is all three of the following:

        Cited by the US EPA's SARA (Superfund Amendments and Reauthorization Act) Section 313 Toxic Release Inventory

        Found in your product database as an ingredient in any of the following:

        An SDS

        A part with a Part-Specific component definition (ingredients not adopted from any other product)

        A lot with a Lot-Specific component definition (ingredients not adopted from any other product)

        Having missing or invalid data in its CAS number or contribution amount

The report output includes five "No" columns (example: No Unit of Measure), each of which indicates a certain type of missing or invalid ingredient data. (For details on each, see the appropriate five criteria below.) An ingredient shows True in each column corresponding to its missing or invalid data. Any ingredient that would show False in all five columns has complete and valid data, and is omitted from this report.

In the report output, click any product's unique key (SDS file name, part number, or lot number) to open that product in a new window.

Note: It is recommended that you run this report regularly to promptly identify and correct any ingredient data gaps or errors that arise as your product database is updated. For details on setting reports to run automatically on a regular schedule, see Scheduled Reports.

Available Criteria:

        Sites: Include ingredients from products at these sites only.

        No Percent High: Include only ingredients with (True) or without (False) missing values in their contribution amounts.

        No Operator: Include only ingredients with (True) or without (False) missing operators in their contribution amounts.

        No Unit of Measure: Include only ingredients with (True) or without (False) missing units of measure in their contribution amounts.

        No Percentage: Include only ingredients with (True) or without (False) invalid units of measure in their contribution amounts.

        No CAS: Include only ingredients with (True) or without (False) missing CAS numbers.

        Unique Key: Include only ingredients from SDSs with file names, parts with part numbers, and lots with lot numbers obeying this criterion.

        Product Name: Include only ingredients from products with names matching or containing this criterion.

        Inactive: Include only ingredients from active products (No) or inactive/archived products (Yes).

        CAS: Include only ingredients with CAS numbers matching this criterion.

        Ingredient: Include only ingredients with names matching or containing this criterion.

        Contribution: Include only ingredients with contribution amounts matching or containing this criterion.

Available Options:

        Export to Excel: Generate the report output as an Excel file.

        Export as tab delimited file: Generate the report output as a tab-delimited text file.

Exemption Assignments (Crystal)

This report shows each Form R exemption currently assigned to at least one product or location. In the report output, each exemption lists one or more of the following, as appropriate:

        SDS Exemptions: Exemption applies to these SDSs at all locations.

        SDS/Location Exemptions: Exemption applies to these SDSs at the listed locations only.

        Part Exemptions: Exemption applies to these parts at all locations.

        Part/Location Exemptions: Exemption applies to these parts at the listed locations only.

        Location Exemptions: Exemption applies to all product activity at these locations.

Available Criteria:

        Product Name: Include only exemption assignments to products with names matching or containing this criterion.

        Ingredient: Include only exemption assignments to products containing ingredients with names matching or containing this criterion.

        CAS: Include only exemption assignments to products containing ingredients with CAS numbers matching or containing this criterion.

        Product Exemptions: Include only these exemptions.

        Location: Include only exemption assignments to this location (or to sub-locations within this location) and to products at this location (or at sub-locations within this location).

Available Options:

        None

Exemption Index Form R (Crystal)

This report shows all Form R exemptions available at your site. The output includes each exemption's scope (whether it was defined at Corporate or at your local site), name, and (optionally) notes.

Form R Usages for Parts (Quick View)

This report shows the Form R Usage summary transactions (of the Sphera-supplied "FormR Use" transaction type) entered for parts in your system, including each transaction's start/end dates, product involved, location, quantity, and Form R activities (Manufacture Use, Process Use, and/or Otherwise Use). In the report output, click any transaction start date to open that transaction in a new window; click any part number to open that part in a new window.

This report's output is designed to be easily compatible with the "Part Form R Transactions" import method in the Inventory Integration tool. To generate a transaction file to import using this method, hide the report's Site column, generate the report output as an Excel file, and enter the data you want to import.         Manufacture: Include only transactions indicating (X) or not indicating (blank) the "Manufacture Use" activity.

        Process: Include only transactions indicating (X) or not indicating (blank) the "Process Use" activity.

        Otherwise Use: Include only transactions indicating (X) or not indicating (blank) the "Otherwise Use" activity.

        Transaction Description: Include only transactions with descriptions matching or containing this criterion.

Available Options:

        Export to Excel: Generate the report output as an Excel file.

        Export as tab delimited file: Generate the report output as a tab-delimited text file.

Form R Usages for SDSs (Quick View)

This report shows the Form R Usage summary transactions (of the Sphera-supplied "FormR Use" transaction type) entered for SDSs in your system, including each transaction's start/end dates, product involved, location, quantity, and Form R activities (Manufacture Use, Process Use, and/or Otherwise Use). In the report output, click any transaction start date to open that transaction in a new window; click any SDS file name to open that SDS in a new window.

This report's output is designed to be easily compatible with the "SDS Form R Transactions" import method in the Inventory Integration tool. To generate a transaction file to import using this method, hide the report's Site, Product Name, and Proprietary SDS columns, generate the report output as an Excel file, and enter the data you want to import.         Sites: Include only transactions from these sites.

        Transaction Start Date: Include only transactions with starting dates obeying this criterion.

        Transaction End Date: Include only transactions with ending dates obeying this criterion.

        File Name: Include only transactions on SDSs with file names obeying this criterion.

        Product Name: Include only transactions on SDSs with common names matching or containing this criterion.

        Locations: Include only transactions occurring at these locations.

        Transaction Quantity: Include only transactions with numeric quantity values obeying this criterion.

        Unit of Measure: Include only transactions with quantities entered in these units of measure.

        Manufacture: Include only transactions indicating (X) or not indicating (blank) the "Manufacture Use" activity.

        Process: Include only transactions indicating (X) or not indicating (blank) the "Process Use" activity.

        Otherwise Use: Include only transactions indicating (X) or not indicating (blank) the "Otherwise Use" activity.

        Transaction Description: Include only transactions with descriptions matching or containing this criterion.

        Proprietary SDS: Include only transactions on proprietary SDSs (Yes) or non-proprietary SDSs (No).

Available Options:

        Export to Excel: Generate the report output as an Excel file.

        Export as tab delimited file: Generate the report output as a tab-delimited text file.

Regulated Products (Crystal)

This report shows SDSs at your site that contain ingredients cited by the US EPA's SARA Section 313 Toxic Release Inventory, including each SDS's location assignments. The report's available criteria allow you to focus only on SDSs with Form R exemptions assigned or SDS without exemptions assigned. (For details on assigning exemptions to products, see Assigning Form R Exemptions to Products.)

Available Criteria:

        Common Name: Include only SDSs with common names matching or containing this criterion.

        Manufacturer: Include only SDSs with manufacturer names matching or containing this criterion.

        Revision Date: Include only SDSs with revision dates obeying this criterion.

        Location: Include only SDSs assigned to this location (and do not display their other location assignments).

        File Name: Include only SDSs with file names obeying this criterion.

        Internal ID: Include only SDSs with internal IDs matching or containing this criterion.

        Show Only Exempt Products: Include only SDSs with one or more Form R exemptions assigned.

        Show Only Non-Exempt Products: Include only SDSs with no Form R exemptions assigned.

Available Options:

        None

Reportable Chemicals (Crystal)

Typically, you will run this report after performing all other maintenance and preparation for Form R reporting each year (see Annual Form R Reporting Procedure). This report gathers the year's Usage transactions that have any of the Sphera-supplied Form R transaction attributes (Mfg Use, Proc Use, and Other Use), totals the usage amounts of chemicals cited by the SARA Section 313 Toxic Release Inventory, and indicates which totals (if any) have breached the threshold of each Form R usage activity. The substances that have breached usage thresholds are those you need to report on Form R; if no threshold breaches have occurred during the reporting year, no submission of Form R is necessary.

The first page of the report output is a guide to the properties and symbols in the report; the last page is a summary of the report's findings. By default, the output includes the totals of non-exempt usages that have breached usage thresholds at any non-exempt location, but see the criteria and options below for available ways to customize the report.

Available Criteria:

        Reporting Year (4-Digit): Show usage totals from the year entered here. (Required.)

        Reporting Facility: Include usage totals from the locations within these facilities only.

        Ignore Thresholds:

        Cleared (default): Show only usage totals exceeding the defined percentage of usage thresholds (see the "Percentage of Thresholds" options below).

        Selected: Include all usage totals, regardless of whether they have breached thresholds.

        Ignore Exemption Assignments:

        Cleared (default): Exclude exempt usages from usage totals.

        Selected: Include exempt usages in usage totals.

        Ignore DeMinimis Rule:

        Cleared (default): If a chemical ingredient's contribution percentage in a product is below the DeMinimis value specified for that chemical in the SARA Section 313 Toxic Release Inventory, exclude that product's usages from "Processed" and "Otherwise Used" totals.

        Selected: Include usages of cited chemicals, regardless of contribution amounts.

Available Options:

        Show Details: Show all product usages contributing to each usage total.

        Percentage of Thresholds: Show usage totals in breach of this percentage of the usage thresholds (see previous three). When the reporting year is over, you will likely use the default full percentage (100); when partially through the year, you might enter the comparable percentage. Example: When one quarter through the reporting year, you might enter 25 (one quarter of the full percentage) to see if current usage rates are likely to breach thresholds by year's end.

        Include Form R Data with Results: With the Crystal report output, also generate a tab-delimited text file including the same data, formatted to be easily exported to Excel.

Usages (Crystal)

This report shows Usage summary transactions of the Sphera-supplied "FormR Use" transaction type entered for SDSs at your site. The output includes each transaction's location, date range, Form R activities (Manufacture, Process, and/or Otherwise Used), and quantity. The transactions are grouped firstly by product and secondly by location.

Available Criteria:

        Common Name: Include only transactions for SDSs with common names matching or containing this criterion.

        Manufacturer: Include only transactions for SDSs with manufacturer names matching or containing this criterion.

        Revision Date: Include only transactions for SDSs with revision dates obeying this criterion.

        File Name: Include only transactions for SDSs with file names obeying this criterion.

        Location: Include only transactions at this location.

        Effective Date Range: Include only transactions with date ranges obeying this criterion.
